Whether you’re starting from scratch or fine-tuning details, here’s a step-by-step guide to help you create an unforgettable experience.
1. Start with the Basics
Before anything else, consider:
Guest Count: How many people are attending? This affects menu planning, space requirements, rental needs and logistics.
Venue: Will the event be indoors or outdoors? Does the location have kitchen access?
Event Style: Are you aiming for formal, casual, or something in between? This determines menu style and service options.
2. Set a Realistic Budget
Food and beverages often take up a significant portion of an event’s budget. When working with a premium caterer you should always consider:
Service Style: A plated dinner is elegant but requires more staff and dinnerware, while a buffet or food stations offer flexibility.
Dietary Needs: Vegan, gluten-free, or allergy-friendly options may impact costs.
Extras: Consider rentals (plates, glassware, linens) and bar services if needed.

4. THE DETAILS MAKE THE DIFFERENCE

🚚 Setup & Breakdown – Ensuring everything is ready before guests arrive. Allow for at least one hour prior to your event for your caterer to set up. This will vary based on the menu and set up requirements. Ideally you want your caterer to be ready at least 15 minutes before your guests arrive.
Are you ready for your caterer to arrive? When entertaining in your home, have you allowed for counter and fridge space for your caterer to arrive? The more efficient the load in process, the easier it will be for the team to execute your event.
