STEP 1: DEFINE THE DETAILS

Before placing an order, consider the following:

Headcount – How many people are attending? Always add a buffer of 1-2 extra portions for unexpected guests.

Dietary Restrictions – Any allergies, gluten-free, dairy-free, vegetarian, or vegan preferences?

Service Style – Do you need individual boxed lunches, a buffet-style meal, or plated service? Will your event require staffing?

Time & Location – What time does the food need to arrive and where should it be set up?

*Pro Tip: The larger the group, the increased likelihood of having dietary restrictions. Request a menu that accommodates a variety of common allergies upfront. (gluten, dairy, vegan, nut free).

STEP 2: HOW TO PLACE YOUR ORDER

Contact the Caterer (Hopefully us)

Here is the main information you will need to provide:

  • Event date, start time and location

  • Number of attendees

  • Dietary requirements

  • Preferred menu options (or request recommendations!)

  • Estimated Budget - eliminate back and forth by setting up realistic parameters for your initial quote

How Much Food is Enough?

A common concern is over-ordering or under-ordering food. Here’s a quick guide:

Rule of Thumb: Order 10% more than your headcount to account for extra guests or larger appetites.

Decide Which Catering Method Is Needed:

Boxed or Bagged Lunches – Ideal for meetings on the go or outdoor retreats.

Buffet-Style Catering – Great for large corporate lunches/dinners or canapé food stations for smaller cocktail events that don’t require staff.

Plated Dinners – Best for formal corporate gatherings or VIP events.

Cocktail & Canapés – Perfect for networking events or holiday parties.

*Pro Tip: Always ask about delivery logistics—some venues may require early drop-offs or have setup restrictions. If you are ordering for your office, is your caterer properly insured to meet the buildings COI requirements?

Review the Quote & Adjust as Needed

The catering team will send a menu proposal. This is the time to:

  • Adjust portion sizes if needed

  • Confirm meal preferences

  • Ensure all dietary needs are covered

Final Confirmation & Delivery

Place the order at least 72 hours in advance for regular lunches, 2-4 weeks for large events that may require more logistical planning and staffing.
